2. Services

Hyggeos Hokkaido provides support services for people who require assistance with travel, outings, or daily life due to medical, nursing, caregiving, or other circumstances.

Nursing, Caregiving, Outing and Travel Support

Our services include:

• Accompaniment and support by nurses and other healthcare professionals

• Accompaniment and support by caregivers

• Physical assistance

• Accompaniment and safety monitoring

• Temporary nursing or caregiving support to provide respite for family caregivers

• Support and accompaniment during hospital admission and discharge

• Support during outings and travel

Service details and fees are determined individually based on the client's condition, required level of support, service duration, and other factors.

Dialysis Travel Coordination

Our services include:

• Researching dialysis facilities and confirming whether they can accept the client

• Coordinating dialysis dates and times

• Confirming and coordinating medical information and documents required for dialysis reservations

• Assistance with dialysis reservation procedures

• Assistance with registration or medical visits at healthcare facilities when necessary

• Travel accompaniment or standby support when necessary

Hyggeos Hokkaido is not a medical institution and does not provide dialysis treatment or other medical treatment.

Interpretation and Professional Services

Depending on the client's needs, we may provide or coordinate the following services:

• Medical interpretation

• General interpretation

• Nurses and other healthcare professionals

• Caregiving professionals

• Other professionals as necessary

 

Referral and Coordination with External Services

When necessary, we may introduce or provide information about external services, including:

• Welfare taxis and other transportation services

• Travel agencies

• Transportation providers

• Accommodation providers

• Other services necessary for travel or outings

Services provided by external businesses are subject to the terms, conditions, and fees of the respective providers.

3. Service Fees

Service fees vary depending on the type of service, service duration, required level of support, and other factors. Some services are priced individually.

Service fees will be provided before application, and clients will be asked to confirm the details before applying.

Dialysis Travel Coordination

Research, Coordination and Reservation Confirmation Fee: JPY 8,000 (tax included)

This fee covers research on dialysis facilities, confirmation of availability, inquiries, schedule coordination, and related services.

4. Additional Costs

In addition to service fees, clients may be responsible for the following costs:

• Fees charged to the client for international remittance, currency exchange, or other payment-related transactions

• Transportation expenses and other actual expenses related to accompaniment, support, or outings

• Medical interpretation or other external service fees when not included in the service fee

• Welfare taxi and other transportation service fees

• Dialysis treatment fees and other medical expenses charged by medical institutions

• Accommodation costs and transportation expenses such as airfare and railway fares

• Other actual expenses necessary for the use of the service

• Other costs disclosed to and agreed upon by the client before the service is provided

 

5. Payment Methods and Timing

Payment Methods

The following payment methods are available:

• Credit card

• Other payment methods specified by Hyggeos Hokkaido

Credit card payments are processed through Stripe.

Payment Timing

Unless otherwise specified, payment is generally required before the service or coordination work begins.

For Dialysis Travel Coordination:

• Research and Coordination Fee: payable before research and coordination begin

• Reservation Confirmation Fee: payable after the dialysis reservation is confirmed

 

6. Timing of Service Provision

Services or coordination will begin after confirmation of the client's application and any required payment.

Specific service dates and periods will be provided individually.

The timing of dialysis reservation confirmation may vary depending on the availability of medical facilities, their acceptance decisions, and the submission of required documents.

7. Cancellation, Termination and Refunds

Cancellation, termination, and refund conditions vary depending on the type of service and the timing of cancellation.

Please refer to the applicable service agreement, terms of use, or cancellation conditions provided at the time of application for details.

Dialysis Travel Coordination

If the client cancels after research and coordination have begun, the Research and Coordination Fee is non-refundable.

If the client cancels after the dialysis reservation has been confirmed, the Reservation Confirmation Fee is non-refundable.

Any cancellation fees charged by medical institutions or other service providers will also be the responsibility of the client.

Nursing, Caregiving and Accompaniment Services

For services directly provided by Hyggeos Hokkaido, the following cancellation fees generally apply:

• Cancellation one day before the scheduled service date: 50% of the service fee

• Cancellation on the scheduled service date: 100% of the service fee

External Services

For welfare taxis, interpretation services, travel agencies, and other services provided by external businesses, the cancellation policies of the respective providers will apply.

8. When Services Cannot Be Provided

Services may not be available due to circumstances including the availability of medical institutions, professionals, or external service providers; failure to submit required documents; weather; natural disasters; transportation disruptions; or other circumstances.

In addition, if information, documents, or declarations provided by the client contain significant false, incorrect, or inaccurate information, and this makes the provision of services difficult or inappropriate, we may refuse to provide the service.

Fees for research, coordination, or other services already provided may not be refundable.15

9. Relationship with Service Agreements and Terms of Use

Detailed conditions not stated on this page are governed by the applicable service agreements, terms of use, or other conditions provided at the time of application.

For Dialysis Travel Coordination, please refer to the “Dialysis Travel Coordination Service Agreement and Consent Form.”

For private-pay nursing and caregiving services, please refer to the applicable service agreement and terms of use.

Before applying for a service, clients are requested to review and agree to the service details, fees, cancellation and refund conditions, and other applicable terms.
